Travel & Payment

Everything you need to know for your trip is outlined below including links to pay for your hotel rooms. Because Olivia has a new baby and significantly decreased bandwidth she's working to make everything as self-serve as possible! If you have further questions feel free to reach out to Olivia at anytime, but keep in mind, because of the new baby, responses may be delayed. Charge it to being stretched thin, it's definitely not her heart! She will get back to you as soon as she can!

AT A GLANCE

FLIGHTS

As a result of unreasonable group pricing options everyone is responsible for booking their own flights to and from Cartagena. Olivia will send flight alerts via text message when she see's a good fare but please plan to spend at least $600-$900 depending on where you are flying from.  

GROUND TRANSPORTATION

Round trip ground transportation between the airport in Cartagena (CTG) and the Hyatt Regency Cartagena will be provided for you at no additional cost. The couple will also provide shuttle service between the wedding venue and the Hyatt Regency Cartagena on the day of the wedding. Any additional ground transportation you may need while in Cartagena must be covered at your own expense. More information on ground transportation will be provided late 2024. 

ACCOMMODATION

We have partnered with the Hyatt Regency Cartagena to secure group pricing for our event. Room types are available on a first come, first serve basis. If your desired room type is no longer available you will be contacted via phone to talk through other options. All rooms come with breakfast included for each night of stay. To pay for your room click the link next to your desired room type in the hotel section on this page. Split payment options (for guests sharing a room and paying separately) and payment plans are both available. Contact Olivia for next steps. Payment plans may be financed through Klarna. If you choose alternative accommodation you will be responsible for all payments and transportation on your own.

We are pleased to be able to offer payment plans to all guests booking hotel rooms through Olivia via Klarna. Flights must be purchased independently. Hotel rooms must be chosen and paid for by 8/16/24. Click here to select and pay for your hotel room. If you've already paid your deposit use the "paid deposit" button next to your room type. If you have not, use the "no deposit" button.

You will need a valid passport to travel to Cartagena. Passport details are included below.

All guests are encouraged to stay at the Hyatt Regency Cartagena. The hotel has been vetted for security, safety, comfort, food, and group travel arrangements will be coordinated to and from this hotel only. We have group rates for room pricing and some ancillary events will take place at the hotel. Group discounted rates are only available when booking through Olivia, however if you'd like to extend or modify your trip beyond the wedding itinerary Olivia can and will help with those reservations too.

PLEASE NOTE: All rooms are prices for 2 occupants. Each occupant over 2 will incur and additional $45 charge. You will need to present a credit card for incidentals at check-in.

Passport

You will need a passport to travel to Colombia. Don't have one? No problem! Everything you need to know about getting a passport is listed below. Will you passport expire before the trip? Not a problem. We've outlined next steps for you too! 

How to Get or Renew a Passport

 

Standard Processing Time: 10-13 weeks

Expedited Processing Time: 6-9 weeks

​

This does not include mailing time when sending in your application. 

​

In general, you will want to mail in your documents for your passport by September 30th, 2024 at the latest WITH expedited services.

1 / Complete Passport Forms

The U.S. Department of State provides forms for a new passport, passport renewal, name changes, children's passports, and more. You can complete, download, and print these forms from the state department's website. If you don't want to worry about getting a passport yourself, since Olivia will be your travel agent, she can work with you directly to complete and submit all forms.

You can also visit your local passport office and apply in person. A passport office locator is available on the ste department's website. 

2 / Submit One Color Photo

Photos must be 2" x 2", taken within the last 6 months, in front of a white background, your glasses must be removed, and selfies are not allowed. This means someone else must take it for you. If you are working with Olivia she will make the photo 2" x 2" for you. Don't worry about that. If you are not working with Olivia she can help you find the nearest passport photo location. Often times CVS will take a passport photo for you. 

3 / Submit Proof of Citizenship

You can submit original evidence of citizenship or a photocopy of evidence of citizenship (your birth certificate). Photocopies must be legible on standard 8.5"x11" paper, black and white, and one sided. In some cases you may submit a certified copy that contains the official seal of the issuing agency. 

 

If you were born outside of the United States you will need a full validity undamaged U.S. passport, a consular report of birth abroad or birth certificate, a certificate of naturalization, and a certificate of citizenship. 

 

If you are working with Olivia she will be happy to help you put together all necessary documents.  

4 / Pay Passport Fees

You will need a passport book to travel to Colombia. The standard cost for a new passport book is $165. This covers the application fee ($130) and the execution fee ($35). The fee to renew a passport book is $130. The expedited service fee is $60, and the 1-2 day delivery fee is $20.

If you will be applying for a passport on your own at an acceptance facility you will need to provide payment in the form of check or money order payable to "U.S. Department of State." If you are working with Olivia you can send the money to her electronically and she will submit a check on your behalf. 

​

Acceptance facilities will charge an additional and separate $35 acceptance fee. Check with you local acceptance facility to confirm what type of payment they accept. 

5 / Submit Copy of Photo ID

You will need to submit a copy of a government issued photo ID, front and back. Acceptable documents include: a driver's license, passport book, government employee ID, military ID, permanent resident card, certificate of citizenship, etc. The complete list can be found on the state department's website.
